The reasons for the lack of correspondence could be that they are busy, avoiding answering, or haven’t received it at all. So, how can you tell if the person in question has actually seen your message? Well, if you’re prepared to put in a little effort, it is possible. Here’s how.

Using Read Receipts

The traditional way to see if someone has opened any emails was to use the Read Receipts feature. This is automatically triggered when the recipient accesses the message, prompting them to agree to the Read Receipt being sent back to you. Of course, they can deny this request, which kind of defeats the point. 

This isn’t quite what it once was though, with email security now much tighter than ever before, it’s not uncommon for Read Receipts to be identified as potential malware and therefore screened out by email security scanners.

A further complication is that many email services don’t actually offer this feature. Gmail currently has no way to employ Read Receipts unless you go for a third-party option which often involves a subscription. Plus, we found that our Mac version of Outlook also had the feature disabled while most popular email apps on Android and iOS don’t even have it as an option.

If you’re using Outlook on a Windows PC then you’re in luck, up to a point. To set up a Read Receipt you’ll first need to launch the app, compose a new email, then click on the Options tab along the top of the message window.

In here you’ll see two tickboxes: Request a Delivery Receipt and Request a Read Receipt. Tick the latter and send the email. If things go well, you should receive the notification that your communique has been opened.

In our tests though, this wasn’t plain sailing at all. Some email addresses just filtered out the Read Receipt request entirely, while a private Gmail account popped up a scary warning message for the recipient. So, it looks like this old method is all but finished these days.

Using a third-party Gmail extension

Standard Gmail accounts don’t support email tracking, as these are reserved for work and school versions, but you can use an extension to emulate this feature.

Mailtrack is one such extension and the free tier allows unlimited tracking. To add Android compatibility and other advanced features you’ll need to step up to the Pro level, with prices starting at $4.99 (about £4) per month.

To install Mailtrack, open Gmail on your PC and click the Settings icon in the top right corner. From the drop-down menu select Get add-ons then search the store for Mailtrack. Once you’ve gone through the various agreements, and the app is installed, you’re ready to give it a test run.

Create a new email and you’ll notice that there are now two green arrows down by the Send button. Click these and you’ll open up the Mailtrack settings. Ensure that it is switched on, then close it, complete your email as normal and click Send.

If things go well, and they did during our tests, you should receive an email as soon as the recipient opens your message, with the bonus that they can’t refuse to send the notification.

The free version of Mailtrack does append a signature to your message so the person knows that you’re using the service. This can be removed though if you move to the Pro level.

Using tracking services

Gmail read receipt

If you’re sending an important email and want to know if the recipient opened it, ask for the read receipt. 

It will be requested from all recipients in the TO and CC fields, but it won’t include BCC addresses, distribution lists, or email aliases.

Please, note: This feature won’t work if you use a free gmail.com account, but it’s available for Google Workspace users. In the latter case, the administrator first needs to turn on read receipt requests in Gmail for accounts in the company.  

Here’s what you should do:

  1. Open Gmail and write an email.
  2. In the lower right-hand corner, click More options (a three-dot icon) and select Request read receipt.

All read receipts will be displayed below your emails. But keep in mind that your recipients may need to approve them before you get an email notification.

Outlook read receipt

If you are an Outlook user, then the process is quite simple too.

  1. Open Outlook and write a message.
  2. After that, go to the top menu bar and click Options.
  3. Then check the boxes for Request a Delivery Receipt and Request a Read Receipt.

In what case you won’t receive a read receipt?

  1. You send an email to a mailing list or email aliases.
  2. Your clients’ administrator has only allowed confirmation to be sent to people in their company or certain individuals outside of it.
  3. The recipient uses an email program that doesn’t sync in real-time (for example, a POP client that syncs only on-demand or a G Suite Sync client).
  4. The recipient sends a read receipt using an IMAP (Internet Message Access Protocol)-based email client that doesn’t automatically send such messages.

Remember: Even if you received a read receipt, this doesn’t always mean that the addressee has viewed your message. How confirmations work depends on the recipient’s mail system.

For instance, you might receive it if an IMAP-based email client marks your message as read without opening it. Some non-IMAP mobile email systems may not send such receipts at all.

Right off the bat, this method is not easy. It requires at least basic knowledge of HTML and web analytics. The principle is to embed a hidden pixel in the email through the <img> tag. When the recipient reads it, an event is counted in Google Analytics. This way, you will know that it has been viewed.

Just keep in mind that this way of tracking email opens won’t work if the recipient has disabled the display of images.

Here are the parameters you need to fill in:

v Protocol version (no need to change the number).
tid Google Analytics tracking ID. You can find it from Tracking Code>Tracking ID (described below).
t Hit type. In our case, we’ll call it an “event.”
cid Client ID that you assign to recipients. We’ll use “555” to show that tracking is anonymous.
ea Event action. We want to know if the message is open, so we put “open.”
ec Event category. This parameter is optional, but it is convenient to study reports with it.
dp Document path. For example, dp=%2Femail%2Fnewsletter defines the /email/newsletter path.
dt Title of the tracked item. You can give any name you like.
